Accounting Partners
You keep the client. We do the conversion.
Sage 50 (formerly Peachtree), Sage 100, QuickBooks Desktop and other legacy systems converted to QuickBooks Online, Xero or NetSuite. Every balance tied, every transaction traced, every correction reversible and documented. White labeled to your firm.
We are not an accounting firm.
TEKEASE® is an IT services, software development and business applications firm. We do not keep your clients’ books, prepare their returns or perform their audits. Our accounting work is high-level consulting: conversions, verification and the systems that sit around the ledger.
We do not solicit our agency clients’ customers. Ever. That is in our agreement, not just on this page.
Notice that there is no client name, logo or dollar figure anywhere on this page. That is the policy, and it will cover your clients the same way.
The problem
A prospect or client is still on Sage 50, Sage 100 or QuickBooks Desktop. Your firm wants them on a cloud ledger it can actually work in. Nobody at the firm wants to own the conversion, because if it goes wrong, the firm wears it, not the software vendor. So the engagement stalls, or the firm takes the client and works around a system it cannot reach.
Running the conversion is the easy half. Most conversion tools will move the bulk of a company file in an afternoon.
The hard half is the part it moves incorrectly in a way that still balances. No standard report will show it, and it surfaces four months later in front of the client. Here is what that looked like on a recent conversion.
A recent conversion
The forcing function was a legacy software subscription renewal, which moved the conversion ahead of a planned operational software rebuild. We were already engaged to build the client a custom operations platform, so the ledger decision had to serve both.
Why we recommended QuickBooks Online
Not because it is the best ledger. Because it was the right one for this client:
- The accounting firm already worked in QuickBooks Online, and accountant access is native.
- Bank feeds and payroll live in the system the bookkeeper already uses.
- The API is open enough that the new operational platform can post transactions into the ledger directly, instead of being reconciled against it by hand.
We convert to and from every major platform. The recommendation changes with the client.
What the conversion actually did
The overwhelming majority of transactions converted correctly. A small set did not, and that set had a pattern.
The legacy system allowed a single cash receipt to settle a batch of invoices and claw back an earlier overpayment at the same time. The destination platform’s payment form cannot hold both directions at once, so those receipts landed as journal entries.
The customer balance is correct, but the invoice link does not exist. The books balance and the trial balance ties, yet the receivable aging is wrong.
Why it matters more than it sounds
One receipt settles a whole batch, so a small number of failed documents produced hundreds of invoices that appear open across a handful of the client’s largest customers.
A second limitation collapsed an entire prior year of cash into one opening balance entry, while that year’s invoices converted individually. That left dozens of invoices standing against a single undifferentiated credit.
What we did
- Reviewed every record on both sides of the cutover, tens of thousands of transactions.
- Proved the repair method empirically against cases that had already converted correctly, rather than assuming how the platform would apply a credit.
- Rebuilt the links, documented every correction, and made every one of them reversible.
Any conversion of these books would have produced this result. What differs is whether anyone goes looking.
“But the client needs their reports.”
The client ran their business on a specific set of legacy reports with no equivalent in the destination platform. That is the most common reason a conversion gets refused, and “export it to Excel every month” is not an answer.
TEKEASE® is a registered Intuit developer, and our QuickBooks Online solutions are a framework, not a one-off report. It is built on QuickBooks Online’s own architecture, so the ledger stays the system of record. What sits on top of it is built with the ingenuity of a software development firm, customized to each client within everything the platform allows.
The same framework covers:
- Legacy reports reproduced, formatting included, running live against QuickBooks Online.
- Integrations that post transactions from operational systems straight into the ledger.
- Automation for the routine work that otherwise lands on your staff every month.
- Purpose-built applications for the processes QuickBooks Online does not handle on its own.
All of it can be delivered as your firm’s own QuickBooks Online apps, white labeled under your firm’s name. Your client sees your brand. We stay behind it.
If your client’s objection to leaving a legacy system is what QuickBooks Online cannot do out of the box, that is a build, not a dead end.
Beyond the conversion
Conversion is usually where it starts. The ledger is rarely the whole problem.
Beyond QuickBooks Online, we build purpose-built line of business software and the integrations that connect it to the ledger.
When two systems share financial data at the transaction level, they have to agree at the transaction level. That is a very different standard from two systems that merely exchange files.
All of it under your firm’s name.
Who does the work
The principal holds an MBA from the University of Illinois and a BSBA in accounting, is a QuickBooks ProAdvisor and a registered QuickBooks Online developer, and spent two decades as a U.S. Army CID Special Agent working procurement fraud, economic crime and financial tracing.
Tracing transactions until they account for themselves is the work we came from.
How the engagement works
Readiness assessment
Send a report set or the data file under NDA. You get back a written assessment of what will convert cleanly, what will not, and what the work involves. No obligation.
Scope of work
Fixed scope and terms, signed before anything moves. This includes a source file readiness attestation your firm signs off on, so the condition of the incoming data is established in writing before conversion rather than argued afterward.
Conversion and verification
Balances tied at multiple dates, transaction-level tracing, and every correction documented and reversible.
Handoff
Your firm gets the verification record, the open items and the documentation. Your client gets a working ledger and hears your name.
Our white glove philosophy
Anything can be accomplished when nobody cares who gets the credit.
An endless budget helps too, but we have found the first part goes further.
Your firm gets the credit. We get it done.
Request a conversion readiness assessment
Tell us the system, the entity count and the years of history. We will tell you what will convert, what will not, and what it will take, in writing, before anyone commits to anything.
Additional detail on methodology, verification standards and references is provided on a confirmed consult.
